Jord Systems Limited · Last updated: 22 October 2026

Jord Systems Limited ("we", "us", "our") is committed to protecting your personal data and respecting your privacy. This policy explains what personal data we collect through this website, how we use it, and the rights you have under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Who we are

Jord Systems Limited is the data controller for personal data collected through this website. We are a company registered in England & Wales (Company No. 10024167, VAT No. GB250294814), based in West Sussex, United Kingdom. You can contact us about anything in this policy using the details on our contact page.

What personal data we collect

We deliberately collect very little. Specifically:

  • Correspondence. If you email us, we receive your email address, your name if you provide it, and the contents of your message.
  • Product enquiries and licensing. If you register interest in, or purchase a licence for, one of our products (such as Molehill or FurryPeeps), we hold your email address and licence details in order to provide the licence.
  • Technical data. Our web server, like all web servers, records basic technical information about visits (such as IP address, browser type and pages requested) in server logs, used only for security and to keep the site running.

We do not run advertising, we do not sell or share personal data for marketing, and we do not use analytics tools that profile you.

How and why we use your data

Under UK GDPR we must have a lawful basis for using personal data. Ours are:

  • Responding to your enquiries — our legitimate interest in replying to people who contact us, or steps taken at your request before entering a contract.
  • Providing products and licences — performance of a contract with you.
  • Security and site operation (server logs) — our legitimate interest in keeping the website secure and available.
  • Legal and accounting obligations — compliance with legal obligations, such as retaining invoicing records for HMRC.

How long we keep it

  • Email correspondence: for as long as needed to deal with your enquiry and any follow-up, after which it is deleted in the normal course of mailbox housekeeping.
  • Licence and billing records: for the duration of the licence and thereafter as required by UK tax law (normally six years).
  • Server logs: retained for a short rolling period by our hosting provider for security purposes.

Who we share it with

We do not sell personal data. We share it only with service providers who help us run the business — such as our email and website hosting providers and payment processors for licence purchases — and only to the extent needed for them to provide their service. Where a provider processes data outside the UK, we rely on appropriate safeguards recognised under UK GDPR (such as adequacy regulations or standard contractual clauses).

This website loads fonts from Google Fonts. When a page loads, your browser requests the font files from Google's servers, which involves Google receiving your IP address. Details are in Google's own privacy policy.

Your rights

Under UK GDPR you have the right to:

  • access the personal data we hold about you;
  • have inaccurate data corrected;
  • have your data erased in certain circumstances;
  • restrict or object to our processing in certain circumstances;
  • data portability, where processing is based on contract or consent and carried out by automated means; and
  • withdraw consent at any time, where processing is based on consent.

To exercise any of these rights, contact us via the contact page. We will respond within one month. There is normally no fee.

Complaints

If you are unhappy with how we have handled your personal data, please contact us first and we will do our best to put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's supervisory authority for data protection: ico.org.uk or 0303 123 1113.

Cookies

See our separate Cookie Policy. This site sets no cookies, and asks you to Accept or Decline before any analytics would ever be used.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last revised, and material changes will be flagged on this page.
